The data's there. It's sitting in your CRM right now. Call counts, booking rates, sales by rep, conversion by source. All of it.

The problem isn't access. It's that pulling a useful answer takes an hour you don't have. You're flipping between dashboards, exporting reports, trying to figure out who's slipping and why. Meanwhile you've got reps to coach and deals to close.

Here's how to get the answer in thirty seconds. Two options depending on how deep you want to go.

The quick version (four steps)

  1. Export your data from your CRM as a CSV.

  2. Open a new chat in ChatGPT or Claude.

  3. Upload the file.

  4. Paste one of the prompts below depending on what you're looking for.

The prompts

Copy and paste directly. Each one works on a standard CRM export without any cleanup.

Call metrics

Analyze this data and show me each rep's total time on the phone, calls taken, and average call length. Who's below the team average?

Sales production

Compare each rep's total sales against the team average. Who's underperforming and by how much?

Booking rate

Show me each rep's inbound calls taken versus services booked. Who has the lowest conversion rate?

Thirty seconds after you upload the file, you've got the answer before your next one-on-one.

That's it for Option 1. If you run reports once a week and don't need the history layer, stop here.

Option 2: the automated version

If you want to track trends over time without rebuilding context every session, set up a standing connection so Claude reads your Google Drive folder automatically. Takes about ten minutes upfront. After that, every export is one file drop and one prompt.

What you're building

A Claude Cowork project connected to a single Google Drive folder. Every time you export from your CRM, you drop the new file into that folder. Claude always reads the most recent one. After a few weeks of exports, you can ask questions across all of them.

Step 1: Create a dedicated folder in Google Drive

Create a folder called something like "CRM Exports" or "Weekly Rep Reports." This is the only folder Claude will read. Keep it clean: CRM exports only.

Consistent naming matters. It's how Claude identifies which file is the most recent without you having to specify it every time.

Step 2: Connect Google Drive to Cowork

Open the Cowork desktop app. Go to Settings and look for the Connectors section. Connect your Google account and grant access to Google Drive. Cowork will ask which folders to allow — select the CRM Exports folder specifically. You don't need to give it access to all of Drive.

Step 3: Add the instructions to your existing Cowork project

Open your existing Cowork project and add the block below to the project instructions. If you don't have one yet, create a new project and paste it in during setup. Either way, this sits at the project level so every new chat inside it already has the context without you repeating it.

You are here to help me analyze rep performance data exported from our CRM. Files are named by date and all future exports will follow the same naming format. Always read from the most recent file in the folder unless I ask otherwise. When I ask about trends, read all files within the time period I specify and compare accordingly.

The first time we work together, ask me what the columns in the export represent so you have that context for every future session. Once I've told you, don't ask again.

Do not invent or estimate data that isn't in the file. If something is unclear, flag it rather than filling it in.

Step 4: Drop in your existing exports

Go to your CRM Exports folder and add any previous weekly exports you already have. The more history you start with, the more useful the trend questions become on day one.

What you ask from here

For the weekly snapshot:

Pull the latest data and show me who's below average on calls and conversion.

For the trend view (once you have a few weeks saved):

Review all past data and show me how each rep's performance has trended over time. Who's improving? Who's slipping?

Claude already knows the column context. Every future report starts with that baked in. No re-explaining. No re-uploading context. Just drop the new file and ask.

What this looks like week to week

Monday morning. Export from the CRM. Drop the file in the folder. Open the Cowork project. Ask for the weekly snapshot. You've got your one-on-one prep before your first coffee.

Month three. You've got twelve weeks of exports in the folder. Ask for the trend report. You can see which reps have improved since onboarding and which ones have plateaued. That conversation used to take an afternoon to prepare for. Now it takes a prompt.

No new software. No dashboard subscription. No analyst. Just a folder, a prompt, and an answer.
